Enter medication orders

You can track any prescription medication orders sent to the school medical office for a student.

If a student receives a certain medication regularly, you can set the default values of the Visit type, Primary Complaint, Primary Treatment and Primary Action fields. This way, when the student arrives at your office and you enter a new health log, that information is already completed.

To enter a prescription medication order:

  1. Log on to the Health view.
  2. Do one of the following:
    • Click the Medication tab. The Rx Orders page appears.
    • Click Student, select the student associated with the medication order, and then click Medications on the side-tab.

  2. Field

    Description

    Name (Appears at Medication > Rx Orders only.) Select the student's name.
    Medication type Select the medication type.
    Medication name Type the name of the medication.
    Authorized by Type the name of the person who approved the order.
    Authorized date Enter the date of the authorization.
    Authorized method Select the way the order was authorized.
    Diagnosis Select the student's diagnosis.

    Start date/Stop date

    Type the dates, or click Select Date icon. to enter the start and end dates for the order.

    As needed?

    Select this checkbox if this medication is PRN.

    Dose amount

    Type the amount of a single dose. The dose amount correlates to the unit label you select at the Unit label drop-down. If you keep inventory for this medication, each time you administer it, the system deducts the dose amount from the medication's balance.

    Note: If this is a new order, after you enter the order information, click Add at the bottom of the page to manage the on-hand amount.

    Unit label

    Click this drop-down to select Pills, mg, etc.

    Units on hand

    This field is read-only. It displays how many units of this medication you currently have on hand for this student.

    Low balance threshold

    Enter the minimum amount of units you can have on hand of this medication for this student before you want the system to display the Low medication balance alert Low medication balance alert icon.

    Route

    Click this drop-down to select Oral, Intramuscular, etc.

    Usage notes

    Enter any usage notes, such as May cause sensitivity to the sun.

    Dosage notes

    Enter any dosage notes, such as Take with full glass of water.

    Visit Defaults

    Visit type

    Click this drop-down to select Medication, Injury, Follow Up, etc.

    Primary Complaint

    Click Search icon for picklist to select from the pick list, including Cardiovascular, Dermatological, Immune system, etc.

    Primary Treatment

    Click Search icon for picklist to select from the pick list, including Ice, Bandage, Vital signs, etc.

    Primary Action

    Click Search icon for picklist to select from the pick list, including Dismissed due to illness, Returned to class, etc.

    Comment

    Enter any additional comments, if desired.

You can adjust the amount of inventory on hand for this student's medicine from the Medication tab, Rx Orders sub-tab (but not from Student > Medications).

To adjust the amount of inventory on hand for this medication for this student:

  1. At Health Inventory Transactions, click the Add button. The Health Inventory Transaction pop-up appears.
  2. The Date and Time fields default to the current values. Change if needed.
  3. Click the Transaction type drop-down to select Deposit, Withdrawal or Adjustment.
  4. At the Transaction amount field, type the number of units you are adding, withdrawing or adjusting.
  5. Type a Comment, if desired.
  6. Click OK.

To create a medication administration schedule:

If this is a regularly scheduled medication, you can create a medication administration schedule at the bottom of the page. A medication administration schedule automatically creates appointments for the student that can be selected on the daily log.

  1. Select the Enable administration schedule checkbox. The Daily, Weekly, Monthly and Periodic sub-tabsClosed appear.
  2. Click the appropriate sub-tab to set the schedule.
  3. Example: If the student must take this medication once a week, click the Weekly sub-tab. Then, enter the administration time, and click the day of the week the medication is to be taken.
