Schedule meetings
Most workflows include a step to schedule a meeting between parents and team members to help track a student’s progress.
Scheduling the meetings through the workflow allows you to print invitations in Aspen, track when the meetings are held, and take attendance at the meetings.
Note: This information is usually defined while entering an IEP for a student through the workflow. However, no matter how this is entered, the meeting information also appears in the actual IEP. |
To schedule a meeting:
- Log on to the Special Education view.
- Click the IEP tab.
- Do one of the following:
- Click the Workflows side-tab, and click the workflow you are using. Click the Schedule meeting phase name.
- Click the Meetings side-tab, and go to the Options menu, and click Add. The New IEP Meeting page appears.
- Use the following table to help you fill in the fields on the General sub-tab:

Field
Description
Date
Type or click to select the date of the meeting.
Time
Type the time of the meeting.
Location
Type the location of the meeting.
Type
Click the drop-down and select the type of meeting.
Other Type
Type an other type of meeting, if applicable.
Eligibility determination
Click the checkbox if the meeting is for determining the student's eligibility for special education services.
IEP Development
Click the checkbox if the meeting is for developing the student's IEP.
Placement
Click the checkbox if the meeting is to determine placement of the student.
Invitation date
Type or click to select the date you are sending the meeting invitation.
Details
Type any additional details you would like to add to the invitation.
